Position Overview
We are seeking a highly organized and proactive Office Administrator to join our team in New York. As an Office Administrator, you will play a crucial role in overseeing the day-to-day office operations and providing comprehensive administrative support to our Managing Directors. Responsibilities
Office Management: Maintain a well-organized and efficient office environment. Coordinate and oversee office supplies, equipment, and facilities, ensuring everything is in working order and appropriately stocked.
Administrative Support: Provide high-level administrative assistance to the Managing Directors, including managing schedules, arranging appointments, processing expenses, and organizing meetings. Prepare meeting agendas, take minutes, and follow up on action items as needed.
Communication: Serve as the primary point of contact for internal and external inquiries, emails, and phone calls directed to the Managing Directors. Disseminate information effectively and handle sensitive and confidential information with the utmost discretion.
Travel Coordination: Arrange travel logistics for the Managing Directors, including flights, accommodation, ground transportation, and itinerary planning. Ensure seamless travel experiences and timely expense reporting.
Calendar Management: Maintain and update the Managing Directors' calendars, coordinating with team members to schedule meetings, conferences, and events.
Event Planning: Assist in organizing company events, conferences, and workshops. Handle logistical arrangements, venue selection, catering, and other event-related tasks.
Document Management: Create, format, and edit documents, reports, presentations, and other business materials as required. Maintain electronic and physical filing systems for easy access and retrieval.
Problem Solving: Identify and address operational challenges proactively. Implement process improvements to enhance office efficiency and productivity.
Ad Hoc Projects: Assist in special projects and initiatives as requested by the Managing Directors, demonstrating adaptability and the ability to work on diverse tasks.

Requirements
Qualifications/Requirements
At least 2 years’ experience as an Office Coordinator, Administrative Assistant, or similar role.
Bachelor's degree or relevant work experience.
Ability to work onsite in our New York office required.
Strong organizational skills and the ability to multitask effectively in a fast-paced environment.
Excellent communication skills, both written and verbal.
Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other office software.
Attention to detail and a high level of accuracy in all tasks.
Discretion and the ability to handle sensitive and confidential information.
Exceptional problem-solving abilities and a proactive approach to challenges.
Prior experience in event planning and travel coordination is a plus.

Overview
Alantra is seeking to hire an Investment Banking Vice President to help support its M&A and capital raising advisory business within the Aerospace & Defense sector. The position is located in Boston, MA, or New York, NY. The ideal candidate will have at least 3 years of Industrials M&A experience with the ability to immediately and meaningfully impact the team, while also engaging thoughtfully with Alantra's training and onboarding practices. The Associate will have the opportunity to consistently work directly with Alantra’s U.S. Managing Directors and Partners. The Vice President will have the opportunity to work directly with Managing Directors and over time high performers will have long-term opportunities to rotate through our other U.S. and overseas offices, if desired.

Role / Responsibilities
Vice Presidents represent our firm as both a business developer and executor. They must demonstrate professional judgement and are expected to become capable of handling any assignment on their own. Vice Presidents determine project tactics, develop strategy, and conduct negotiations. They must demonstrate credibility, high level interpersonal skills, and facility in verbal and written communications. Main responsibilities include:
Manage mandates, direct project teams, and build M&A process expertise
Perform execution activities such as drafting buy-side and sell-side documentation, analyzing industries and companies, and developing client presentations
Interact comfortably and build relationships with the full range of third-party professional advisors (legal, tax, accounting) and senior management teams at client companies
Interpret and effectively present financial analysis, company valuation and modeling, and M&A-related documentation
Communicate frequently with each project team and be continually aware of each mandate's progress
Maintain an appropriate balance among delegation, performing the work itself, and supervision
Supervise Associates and Analysts, and facilitate their learning of the M&A process

Alantra's good faith and reasonable estimate of the possible salary range for this role at the time of posting is a base compensation band of $190,000 - $215,000. This role is also eligible for an annual bonus in addition to the base salary. Actual starting pay at the time of hire may vary and may be above or below the range based on several factors, including, but not limited to, candidate experience, market rate, the qualified pool of candidates, internal compensation, and budgetary constraints.
